Shipping Spare Parts to South Sudan

When a machine stops, the freight bill is the smallest number in the room. We move spares to South Sudan by air or road, deliver to the site, and handle the whole customs file so the part does not sit at a border while someone works out the forms.

Why this page is different from the machinery page

A new machine is a planned purchase. A spare part is usually a broken one. The job is not the same, so the service is not either: smaller consignments, faster modes, and a clearance file that is ready before the part arrives rather than started when it does.

Shipping whole machines

What we move

  • Engine, transmission and hydraulic components
  • Generator and alternator spares, control boards, AVRs
  • Pump seals, impellers, bearings, belts and filters
  • Vehicle and truck parts
  • Drilling, milling and agricultural machine parts
  • Electrical components, switchgear and instrumentation
  • Tooling and consumables to go with the above

Some parts carry a battery, and a battery changes the rules whatever the invoice calls it. Tell us and we will handle it properly. What we do not ship

Fast, and honest about what fast means

The flight is the predictable part. What costs people days on this route is almost never the distance. It is a permit nobody applied for, an invoice that disagrees with the packing list, or a consignee who turns out not to be registered to import.

That is exactly the part we take off you. When we say fast, we mean we open the clearance file the day you confirm the order, not the day the part lands. The declaration is prepared while the goods are still in the air, so the consignment is not waiting on us at either end.

Two honest caveats, because you should plan with real numbers:

  • Published transit times describe a normal run with complete paperwork. They are not guarantees, and anyone who gives you a guaranteed date on this corridor is guessing.
  • Air shortens the journey, not the clearance. If a part needs a permit, flying it in does not remove that. We will tell you which applies to yours before you book.

Air freight is charged on the greater of actual or volumetric weight. Dangerous goods, batteries and pharmaceuticals are quoted separately.

Air is usually right for spares. The parts are small and valuable relative to their weight, and the cost of the machine standing still is almost always larger than the difference in freight. Air is priced per kilogram on chargeable weight, which is the greater of actual and volumetric weight, so dimensions matter as much as the scale reading.

Chargeable weight is the greater of actual weight and volumetric weight. Sensitive cargo covers electronics, cosmetics, pharmaceuticals and other high-duty or high value goods.

Road makes sense for heavier or less urgent spares, for a routine restock, or where several orders can travel together. We will tell you when air is not worth it. A crate of filters that can wait a fortnight does not need to fly, and we would rather say so than quietly take the higher rate.

Air versus road compared

Delivered to the machine, not to a depot

A part sitting in a warehouse in Juba is not fixing anything. We deliver to the workshop, the site, the camp or the plant, including locations well beyond Juba: Kapoeta, Torit, Bor, Bentiu, Malakal, Rumbek, Wau, Aweil, Yambio and Yei among them. Give us the final address when you ask for the price.

You will know it arrived

On an urgent part the worst outcome is not knowing. We close every delivery with a signed delivery note naming who took it, photographs at the site, and video of the handover where it helps. The piece count is checked against the packing list at the gate, so if something is short you hear it from us the same day rather than from your technician a week later.

Packing a spare part properly

Small parts get lost and damaged more often than large ones, usually because they were packed like stationery.

  • Rigid outer carton, not a bag, for anything crushable
  • Machined faces and threads coated, and moisture barriers for sea or a long road run
  • Electronics bagged against static and cushioned on all six sides
  • Part numbers visible on the item and repeated on the packing list
  • Every piece marked with the consignee and a piece number
  • Photographed before it is sealed

Where we crate in solid wood, the packaging is treated and marked to the international standard, which requires wood packaging to be debarked, heat treated and marked before crossing a border. (International Plant Protection Convention (FAO), verified 19 Oct 2026)

What it costs

Our rates are published rather than quoted on request, so you can see what a part will cost to move before you ask anyone. We do not charge more because you are in a hurry. An urgent part is priced off the same tariff as a routine one.

There is a minimum charge on both services, because the handling and paperwork on a small consignment do not shrink with the weight. If you have several parts coming from the same supplier, sending them together is cheaper than sending them one at a time, and we will say so rather than bill you twice.

Tell us what you are shipping

Send us the cargo description, weight or volume, and the pickup and delivery addresses. We reply with a written rate, the transit time and the documents you will need.

Prefer to talk? Call +254 181 748673, the same number as our WhatsApp. Messages sent from the button above arrive already typed, so you only have to hit send.

Never imported before? Start here

You do not need to know any of the terminology. Most people ordering an urgent part have never filed a customs entry in their lives, and there is no reason they should have.

Send us this much:

  • The part number, or a photograph of the part and the machine plate
  • Where it is coming from
  • Where it needs to get to
  • The supplier's invoice when you have it

We do the rest: classification, the export or transit declaration, any permit the part needs, clearance into South Sudan, and delivery to your site. You will get the documents afterwards for your records, and a straight answer at every stage about where the consignment actually is.

If your consignee is not yet registered to import in South Sudan, tell us early. It is a routine thing to sort out and a terrible thing to discover while a part sits at Nimule.

Questions

Frequently asked questions

How fast can you get a part to us?

Air is the quickest option and we open the clearance file the day you confirm, so the declaration is ready while the part is still in the air. What we will not do is give you a guaranteed date. On this corridor the delay is almost never the journey, it is paperwork, and that is the part we take off you.

Do you charge more for urgent shipments?

No. An urgent part is priced off the same published tariff as a routine one. A machine standing idle is not a reason for us to reprice the job.

Should I send it by air or by road?

Air for anything holding up a machine, because the cost of the downtime is usually far larger than the freight difference. Road for heavier spares, routine restocks, or where several orders can travel together. We will tell you when air is not worth it rather than quietly take the higher rate.

The part has a battery in it. Is that a problem?

It is not a problem, but it does change the rules, and it changes them whether or not the invoice mentions it. Tell us and we will handle it properly. An undeclared battery can get a whole consolidated load offloaded. See what we do not ship.

I do not know the part number. Can you still quote?

Send a photograph of the part and of the machine plate, with rough dimensions and weight. That is usually enough for us to price the movement and tell you how it should travel.

Will you deliver to our site upcountry?

Yes. We deliver to the workshop or the site rather than to a depot, including beyond Juba to places such as Kapoeta, Torit, Bor, Bentiu, Malakal, Rumbek, Wau, Aweil, Yambio and Yei. Field movements are quoted per consignment because the season and the road decide the route.
